What You'll Do
As a Scheduling Coordinator, you'll keep daily caregiver operations running smoothly, from shift confirmations and coverage to recruitment support. Responsibilities include:
Shift Coordination & Coverage
- Confirm caregivers' shifts first thing in the morning via text.
- Send caregivers their shift notes for the day.
- Monitor all open shifts and proactively find coverage.
- For any call-outs, urgently text and call caregivers to secure coverage and keep the client updated.
Timekeeping & Client Communication
- Check caregiver timesheets and verify clock-ins and clock-outs.
- Text clients their weekly list of assigned caregivers, as requested.
Recruitment Support
- Check Indeed for new applications.
- Interview applicants.
- Enter candidate information into the system once submitted.
Administrative Support
- Perform other duties as assigned.
Who You Are
- Experience in a scheduling-heavy, staffing, or customer-facing role (text, phone, email).
- Experience in healthcare, home care, or caregiver staffing environments is a strong plus.
- Comfortable making urgent calls and texts under time pressure to secure shift coverage.
- Familiar with scheduling, timekeeping, or applicant tracking systems, or able to learn them quickly.
- Excellent spoken and written English, including clear, natural American English.
- Organized, detail-oriented, and reliable, especially with early-morning routines and time-sensitive tasks.
- Friendly, empathetic, and solution-oriented when coordinating with caregivers and clients.
Technical Requirements
- Internet connection: High-speed internet required, minimum 20 Mbps or fiber connection.
- Computer / laptop: You must use a genuine, supported business laptop with built-in hardware security and full-disk encryption enabled. Unsupported, modified, bypass-installed, rooted, or jailbroken operating systems are not permitted.
- Windows: Windows 11 (preferably Windows 11 Pro), 2021 model or newer, with TPM 2.0 enabled and BitLocker / Windows Device Encryption turned on.
- Mac: Apple MacBook / Mac, 2020 model or newer, preferably Apple Silicon M1 or newer, running a supported macOS version with FileVault enabled.
- Not permitted: Chromebooks (ChromeOS), tablets, and mobile devices are not supported and cannot be used for this role.
- RAM: Minimum 8 GB (16 GB preferred).
- Noise-canceling headset.
- Backup power and internet required.
Rates and Expectations
- Work Setup: Remote
- Part-Time Role: 16 hours per week
- Schedule: Thursdays and Fridays only, following US time zones
- Rate: 266.59 PHP per hour
- Timezone: Eastern or Pacific
