Key Responsibilities

  • Manage the CEO's calendar, appointments, meetings, and travel arrangements
  • Screen and prioritize emails, calls, and correspondence
  • Prepare reports, presentations, meeting agendas, and executive summaries
  • Coordinate with internal teams, clients, vendors, and external stakeholders
  • Track key projects and ensure deadlines are met
  • Assist with bookkeeping, invoicing, expense tracking, and financial documentation when needed
  • Maintain confidential records and sensitive business information
  • Create and improve SOPs, workflows, and administrative processes
  • Handle special projects and serve as the CEO's right hand in day-to-day operations

Requirements

Qualifications

  • 5+ years of experience as an Executive Assistant, Chief of Staff, Operations Coordinator, or similar high-level administrative role
  • Previous experience supporting a CEO, Founder, Managing Partner, or C-level executive
  • Experience working in an accounting firm, CPA firm, bookkeeping company, financial services firm, or professional services environment is highly preferred
  • Exceptional organizational and time management skills
  • Strong written and verbal communication skills
  • Advanced proficiency with Google Workspace and Microsoft Office
  • Experience with accounting and business management software such as QuickBooks, Xero, Karbon, Canopy, TaxDome, or similar platforms is a plus
  • Ability to manage multiple priorities with minimal supervision
  • High level of discretion, professionalism, and attention to detail
